At ICS Care Tech Systems ("we," "us," or "our"), this Privacy Policy describes how we collect, use, store, share, and protect information when providing WhatsApp Business API integration and automation services to our client businesses.
Scope
This Privacy Policy applies to end users (customers, enquirers, or contacts) who interact via WhatsApp with a business that uses our WhatsApp integration services. It does not cover our separate healthcare CRM product, CareLoop, which has its own privacy policy.
Our Role
We act as a technology processor on behalf of our client businesses (e.g., service providers, consultants, small businesses). Each client business is the data controller for its own end users' data; we process messages and contact information solely to deliver that client's WhatsApp communications.
Information We Collect
Name, phone number, and the content of messages exchanged via WhatsApp with our client's business number. We do not collect sensitive personal data (health, financial, or otherwise) as part of this service unless a specific client's use case requires it and is disclosed separately.
How We Use Information
Solely to enable the requested communication: relaying enquiries, sending automated responses/templates approved for the client's business, and delivering messages between the end user and the client business.
Data Sharing
We do not sell personal data. We share data only with the specific client business the end user contacted, and with infrastructure providers strictly necessary to deliver the service (e.g., Meta/WhatsApp).
Data Hosting and Storage
We host data on secure, encrypted infrastructure using enterprise-grade cloud providers with standard physical and digital security measures.
Data Retention
We retain data only as long as necessary to provide the service to the relevant client business, or as required by applicable law, including India's Digital Personal Data Protection Act, 2023.
Data Security
We implement technical, administrative, and physical safeguards against unauthorized access, disclosure, or alteration, including encryption principles where supported by the messaging platform.
Your Rights
You may request access, correction, or deletion of your data by contacting the business you messaged directly, or by reaching us using the contact details below.
Updates to This Policy
We may update this Privacy Policy periodically. Material changes will be posted on this page with a revised effective date.
